1. Scope
LegacyBuilt Financial Services LLC (“LegacyBuilt,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use the LegacyBuilt website, submit a form, schedule an appointment, communicate with us, use an approved client resource, make an authorized payment, or participate in a LegacyBuilt service.
This policy applies to the public website and the LegacyBuilt-controlled portions of the inquiry, consultation, scheduling, client-service, and payment experience. Third-party websites and platforms may have their own privacy notices.
2. Information We Collect
The information we collect depends on how you interact with LegacyBuilt. It may include:
- Contact and inquiry information: your name, email address, telephone number, organization or affiliation, inquiry type, subject, message, and other information you choose to provide.
- Consultation and service information: intake responses, appointment preferences, scheduling details, communications, goals, priorities, and information you provide while receiving financial-coaching, protection, insurance, annuity, or other approved services.
- Transaction information: the service purchased, amount, date, payment status, and receipt or transaction identifier.
- Technical information: Internet Protocol address, browser, device, operating system, referring page, pages or features used, date, time, approximate location, time zone, URL parameters, form or calendar activity, error information, and security signals.
General Inquiry form
The General Inquiry form is intended only for non-sensitive business questions. Do not submit Social Security numbers, account credentials, payment-card or banking information, complete medical records, insurance application information, identification documents, or other highly sensitive information through that form. When sensitive information is legitimately needed, LegacyBuilt will direct you to an appropriate approved process.
Insurance and annuity information
If you choose to explore an insurance or annuity product, additional information may be required to evaluate eligibility, assess suitability where applicable, complete an application, support underwriting, or service a policy or contract. Depending on the transaction, that information may include financial, health, beneficiary, dependent, identity-verification, or other application information.
Some information may be collected directly by an authorized insurance carrier or approved insurance-technology provider rather than by LegacyBuilt. The carrier’s or provider’s privacy notice will also apply to information it collects.
Payment information
Payments are processed through approved payment and client-service platforms, including Stripe where applicable. Payment providers may collect payment-card, banking, billing, identity-verification, and fraud-prevention information directly. LegacyBuilt may receive transaction details such as the customer name, service, amount, payment status, date, and receipt or transaction identifier.
Never send complete payment-card or banking credentials through the General Inquiry form, ordinary email, or an unapproved website message.
3. How We Collect Information
We may collect information:
- Directly from you or from a person you authorize to act for you.
- Through website forms, consultation intake forms, calendars, and approved client processes.
- During meetings, email exchanges, telephone calls, or other communications.
- From providers that support our website, CRM, scheduling, payments, virtual meetings, communications, security, or business operations.
- From insurance carriers and authorized insurance-service providers when you request or authorize an insurance or annuity transaction.
- From public or professional sources when reasonably necessary to respond to a legitimate business or partnership inquiry.
4. How We Use Information
We may use personal information to:
- Respond to inquiries and provide customer support.
- Determine an appropriate consultation or next step.
- Schedule, confirm, reschedule, and administer appointments.
- Provide financial-coaching and other requested services.
- Support authorized insurance or annuity discussions, applications, underwriting, policy placement, and servicing.
- Process payments and maintain transaction records.
- Create and maintain contact, appointment, client, service, consent, and communication records.
- Send service-related confirmations, reminders, receipts, updates, and other non-marketing communications.
- Operate, secure, troubleshoot, and improve the website and embedded services.
- Prevent fraud, misuse, unauthorized access, and other harmful activity.
- Comply with legal, regulatory, licensing, accounting, and recordkeeping obligations.
- Establish, exercise, or defend legal rights.
- Carry out another purpose you authorize or that we explain when collecting the information.
Submitting a General Inquiry does not schedule an appointment, begin a client service, submit an insurance or annuity application, or authorize a payment.
5. Service Providers and Disclosures
LegacyBuilt uses GoHighLevel and related LeadConnector services as the backend for approved forms, calendars, contact and CRM records, communications, and automations. Information submitted through an embedded GoHighLevel form or calendar is transmitted to and processed through that platform.
We may disclose information to:
- GoHighLevel/LeadConnector and other providers that perform website, hosting, CRM, communications, document, security, or business-operation services.
- Stripe or another approved processor and the financial institutions involved in an authorized payment.
- Zoom for virtual appointments and meetings.
- Insurance carriers, underwriting organizations, and authorized insurance-service providers when you request or authorize an insurance or annuity transaction.
- Professional advisers, auditors, or compliance providers when reasonably necessary.
- Regulators, courts, law enforcement, or other parties when disclosure is required or permitted by law.
- Parties reasonably necessary to protect a person, prevent fraud or misuse, enforce an agreement, or protect LegacyBuilt’s rights and systems.
- A successor in connection with a merger, financing, sale, restructuring, or transfer of some or all of the business, subject to applicable law.
- Another party at your direction or with your authorization.
These providers may process information on LegacyBuilt’s behalf or, in some cases, under their own privacy notices and legal obligations. LegacyBuilt does not disclose personal information to unrelated third parties merely so they can send their own marketing without your authorization.
Launch posture: LegacyBuilt does not use the standalone website to sell personal information or share it for cross-context behavioral or targeted advertising. This statement must be rechecked if LegacyBuilt later adds advertising technology or changes its provider relationships.
7. Communications and Marketing Choices
LegacyBuilt may use the contact information you provide to respond to you and to send communications connected with an inquiry, appointment, transaction, policy, or active service.
Submitting a General Inquiry does not, by itself, enroll you in promotional email or text marketing. If LegacyBuilt offers optional marketing communications, any consent requested for those messages will be presented separately. You may withdraw marketing consent or use an available unsubscribe or STOP instruction at any time.
Opting out of marketing does not prevent LegacyBuilt from sending non-marketing communications reasonably necessary for an inquiry, appointment, payment, policy, or service you requested.
Mobile messaging data
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use-case categories exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.
8. Virtual Meetings
LegacyBuilt uses Zoom for virtual appointments and meetings. Zoom may process account, device, connection, participation, and meeting-use information under its own privacy practices.
Some sessions may be recorded. LegacyBuilt will provide advance notice and obtain consent before recording a session. A recording may include audio, video, screen sharing, chat, or a transcript, depending on the features disclosed for that session. Recording, transcription, or automated meeting notes must not begin merely because a participant joins a meeting.
9. Retention and Security
Retention
LegacyBuilt retains personal information only for as long as reasonably necessary for the purpose for which it was collected and for legitimate operational, accounting, legal, regulatory, licensing, insurance, dispute-resolution, fraud-prevention, and recordkeeping needs.
Retention periods may vary based on the nature and sensitivity of the information; whether an inquiry, appointment, transaction, client service, application, policy, or contract remains active; applicable carrier, payment-provider, legal, regulatory, or contractual requirements; and the need to resolve a dispute, preserve consent evidence, prevent fraud, or enforce an agreement.
When information is no longer reasonably needed, LegacyBuilt will delete, de-identify, or securely dispose of it when feasible and permitted by law.
Security
LegacyBuilt uses reasonable administrative, technical, and physical safeguards designed to protect personal information. We also limit collection through the General Inquiry form and direct sensitive information to approved processes.
Access to LegacyBuilt-controlled client information is currently limited to the owner. Two-factor authentication is enabled for the applicable GoHighLevel, Gmail, Stripe, and Zoom accounts. LegacyBuilt does not currently maintain separate downloaded copies of client documents outside its approved CRM, email, payment, meeting, or carrier systems.
No website, transmission, storage system, or provider can guarantee absolute security. Do not send highly sensitive information through email, an ordinary website message, or any process LegacyBuilt has not approved for that information. If you believe information you provided may have been accessed or used improperly, contact us promptly.
10. Your Choices and Requests
Depending on where you live and the nature of the information, you may have rights concerning personal information. You may contact LegacyBuilt to:
- Request access to, correction of, deletion of, or a copy of certain personal information.
- Withdraw consent where processing depends on consent.
- Opt out of optional marketing communications.
- Ask how information is handled or request review of a privacy concern.
LegacyBuilt may need to verify your identity before completing a request. Some information may be retained or excluded from a request when permitted or required by law, including records connected with insurance, payments, accounting, fraud prevention, disputes, consent, or regulatory obligations. LegacyBuilt will respond to verified requests as required by applicable law.
11. Children and United States Processing
Children’s privacy
The website and LegacyBuilt services are not directed to children under 13, and LegacyBuilt does not knowingly collect personal information online from a child under 13. If you believe a child under 13 provided personal information through the website, contact LegacyBuilt so it can be reviewed and, when appropriate, deleted.
United States processing
LegacyBuilt is based in the United States. Personal information may be stored and processed in the United States by LegacyBuilt and its providers. If you access the website from outside the United States, applicable privacy protections may differ from those in your location.
12. Other Notices and Changes
Third-party websites and services
The website may link to or embed services operated by third parties, including GoHighLevel/LeadConnector, Stripe, Zoom, insurance carriers, and other approved providers. LegacyBuilt does not control the independent privacy practices of those third parties. Review the privacy notice presented by a third-party service before providing information directly to it, including the applicable HighLevel Privacy Policy, Stripe Privacy Policy, or Zoom Privacy Statement.
Supplemental financial and insurance privacy notices
This policy describes LegacyBuilt’s general website and business privacy practices. It does not replace a separate notice required for a particular insurance application, policy, annuity contract, financial transaction, or regulated electronic disclosure. When a separate carrier, financial-institution, payment-provider, or legally required privacy notice applies, it supplements this policy and governs the information and activity within its stated scope.
Changes to this policy
LegacyBuilt may update this policy to reflect changes in services, technology, legal requirements, or information-handling practices. The updated version will be posted on this page with a revised “Last updated” date. If a change materially affects how LegacyBuilt handles information already collected, LegacyBuilt will provide any additional notice required by applicable law.
